1. Introduction

This Privacy Policy describes how The Web Design Hub (“BoothHQ,” “we,” “us,” or “our”) collects, uses, and protects your information when you use our convention management platform and related services.

2. Information We Collect

We collect information you provide directly to us, including:

  • Account information: name, email, phone number, job title
  • Organization information including billing details
  • Event, exhibitor, and attendee data you upload to the platform
  • Usage analytics to improve product performance and reliability

3. How We Use Your Information

  • To provide, maintain, and improve our services
  • To communicate with you about your account and events
  • To process transactions and send related receipts
  • To send marketing communications, with your consent
  • To comply with legal obligations

4. Information Sharing

We do not sell your personal information. We share data only with trusted vendors who help us deliver the service (e.g. payment processing, email delivery, hosting) and only under contractual obligations that match this policy.

5. The BoothHQ Mobile App

The BoothHQ app for iPhone is used by event organizers, door staff, exhibitors, attendees and competitors. Depending on how you sign in, the app handles:

  • Sign-in details: your email address, plus the password, staff code, ticket confirmation code or emailed sign-in code you enter. The app keeps a sign-in token in the iPhone’s secure keychain.
  • Camera: used only to read QR codes on tickets and badges. Images from the camera are not stored or sent to us; only the code that was read is.
  • Photos: if an exhibitor chooses a company logo, that one image is uploaded to their listing.
  • Check-ins and leads: when door staff scan a ticket, we record the check-in, the time and the door. When an exhibitor scans an attendee’s badge, the attendee’s name, email, phone and company are shared with that exhibitor as a lead, along with any rating or notes the exhibitor adds.
  • Notifications: if you allow notifications, we store your device’s push token so we can send alerts such as new sales or ticket reminders. You can turn notifications off in iPhone Settings.
  • Device information: a random ID for the app installation and the device name, so you can see and sign out of your devices and so offline check-ins sync correctly.
  • Your plan: sessions and exhibitors you save to your schedule.
  • Payments: ticket purchases, competition entries and exhibitor add-ons are processed by Stripe and paid to the event organizer. Card details go directly to Stripe and are never stored by BoothHQ.

The app does not track you across other companies’ apps or websites, and it does not use advertising identifiers. Guest lists downloaded to a door staff phone are removed when that person signs out.

6. Data Security

Your data is encrypted in transit (TLS 1.2+) and at rest. We follow industry-standard security practices including least-privilege access controls, regular security audits, and incident response procedures.

7. Data Retention

We retain your information for as long as your account is active or as needed to provide services. You can ask us to delete your data at any time — see Delete Your Data for what we remove and what we have to keep — or email privacy@boothhq.io.

8. Your Rights

Depending on your jurisdiction, you may have the right to access, correct, delete, or port your personal data. Contact us using the information below to exercise any of these rights.

9. Cookies

We use cookies to maintain sessions, remember preferences, and analyze platform usage. You can control cookies through your browser settings.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We'll notify you of material changes by email or via the platform before they take effect.
